Privacy Policy

eSchoolify (“eSchoolify”, “we”) is a school platform — interactive books, learning tools, assessments and school management — built by Moonlight Publishers. This policy explains what we collect when you use the eSchoolify website and mobile apps, why, and the choices you have.
Who is responsible for your data
Most people use eSchoolify through a school. For pupil, teacher and parent data entered or created by a school, the school decides how it is usedand eSchoolify processes it on the school's behalf. For data about school sign-ups, support and the website itself, eSchoolify is responsible.
What we collect
- Account details — name, email address, phone number (optional), role, school and class, and a password (stored only as a one-way hash).
- School records the school keeps in eSchoolify — admission and roll numbers, guardian and emergency contacts, address, date of birth, health notes, attendance, fees, timetables, exam marks and reports.
- Learning activity — books opened, reading progress and time, quiz and assessment results, competency progress, bookmarks, highlights, notes and points earned.
- Content you create — designs, assignments, messages and replies.
- AI features — what you type or select into the AI tutor, quiz or content tools, so that it can answer you.
- Technical data — IP address, browser or device type, app version, sign-in times and error logs, used to keep the service secure and working.
We do not collect your precise location, contacts or photos, and the apps do not run advertising or tracking SDKs.
How we use it
- To provide the service: sign you in, show your books and progress, run assessments and school tools.
- To keep it safe: prevent abuse, detect unauthorised access, back up data.
- To communicate: send sign-in codes, password resets, school notices and — where a school turns it on — fee or attendance messages.
- To improve eSchoolify: understand which features are used, fix bugs, and support schools.
We do not sell personal data and we do not use pupil data for advertising.
Who we share it with
- Your school — its administrators and teachers see the data of their own school, according to their role.
- Service providers that help us run eSchoolify: hosting and storage, email delivery, and the AI provider used for AI features (your prompt is sent to it to produce an answer).
- Optional connections you switch on — for example Zoom meetings or Canva designs — which share only what that feature needs.
- Where the law requires it, or to protect people's safety.
Children
eSchoolify is used by pupils, usually from nursery upwards, under their school's supervision. Pupil accounts are created by the school, not by the child. If you are a parent or guardian and have a concern about your child's data, please contact your school or us at the address below.
Security
Data travels over HTTPS, passwords are hashed, access is limited by role, sign-in can use an emailed code or an authenticator app, and the system is backed up regularly. No system is perfectly secure, but we work to protect your data and will tell the affected schools if something goes wrong.
How long we keep it
We keep data while your account or your school's subscription is active. When an account is deleted (see below) the personal details are erased. Routine backups are rotated out on a schedule, so a deleted account disappears from backups within about six months.
Your rights and deleting your account
You can ask us to access, correct or delete your data at any time.
- In the app or website: go to Profile → Delete my account.
- Without signing in: use the form at eschoolify.org/delete-account. We email a link to confirm the request is yours.
Once a request is approved, your account and personal data are erased after a short grace period (30 days), during which you can ask us to cancel. Your name, email, phone number, guardian and health details, saved designs, notes, bookmarks, highlights and tutor chats are removed. Records your school needs to keep — such as marks, attendance totals and fee ledgers — remain but are no longer linked to your identity; they show as “Deleted user”. Accounts that manage a whole school (principals, owners) are closed with our team, because they hold the school's data too.
Changes to this policy
If we change this policy in a way that matters, we will update the date above and, for big changes, tell schools by email.
